Shipping, Move-in & Move-out Information

Here you will find information on how to ship your materials to the event and also important information relating to the installation and dismantling of your exhibit space. As you prepare for the event, please review the shipping and logistical information below to decide options will work best for you. Be sure to review all of this information to avoid surprises on-site.

Shipping Options

Ship Materials Directly to the Venue

Begin accepting Shipments:
April 18, 2026

You can send your shipment directly to the Boston Marriott Copley Place. Freight will be received at the FedEx in the hotel beginning on April 18, 2026. Any charges incurred for early freight accepted by FedEx will be the responsibility of the exhibitor.

*Items shipped to FedEx will need to be picked up by the exhibitor and brought to their booth.

Installation / Move-in Information 

Installation / Move-in Schedule

The installation of exhibits will take place as follows: 

  • Tuesday, April 21st      11:00AM - 4:00 PM

Exhibits must be moved in and set up by Tuesday, April 21st at 4:00 PM.

Set-up and dismantle labor must be performed by your own full-time employees or by union labor. 

Hand-Carried Freight

No unloading is allowed at the entrance of the facility; and the use of passenger elevators for movement of freight is not allowed. All packages are subject to inspection by facility personnel. For loading and unloading, please use the Boston Marriott Copley Place Loading Dock located on Harcourt Street.

Privately Owned Vehicles (POVs) The most cost-effective method of delivering freight to this location is to ship items to the FedEx onsite. 
Exhibitors also have the option to load and unload at the Boston Marriott Copley Place Loading Dock located on Harcourt Street. The loading dock operates on a first-come, first-served basis, and a limited number of bell carts are available for use. Please review the Loading Dock information prior to arrival.

  • Valet Parking (in & out privileges)
  • Copley Place Central Garage (connected to hotel; no in & out privileges)
*Exhibitors will not be allowed to hand carry through the hotel entrance.

Dismantle / Move-Out Information​     

Move-Out Hours / Dismantling

The dismantling of exhibits will take place as follows:

  • Thursday, April 23rd             3:15 PM – 5:00 PM

No display material, in whole or in part, may be removed from the exhibit area prior to the close of the event at 3:15 PM on Thursday, April 23, 2026. Please arrange your travel plans and schedule flights accordingly.

Exhibitors are responsible for maintaining cleanliness at their booth throughout the event. Large trash receptacles will be located on the 3rd floor atrium for your convenience. Please dispose of all booth trash in these designated containers during and after the show.

All trash must be removed from your booth space before departure.

Returning your Freight

Shipping your freight back can be arranged through the onsite FedEx.
